Roles and Responsibilities:

1.  Student Administration & Support

  • Handle student enquiries, walk-ins, calls, and online leads professionally.
  • Manage student admissions, documentation, and fee receipts.
  • Maintain student records, attendance, and batch allocations.
  • Address student and parent queries, complaints, and follow-ups.
  • Ensure smooth onboarding of new students.

2.  Fee Management & Coordination

  • Maintain accurate fee collection records and pending dues.
  • Follow up with students/parents for outstanding payments.
  • Coordinate with accounts for fee reconciliation.
  • Issue fee receipts and maintain audit-ready documentation.

3.  Academic & Faculty Coordination

  • Coordinate class schedules, batches, and exam timetables.
  • Communicate with faculty regarding attendance and schedule changes.
  • Ensure availability of classrooms, labs, and teaching resources.
  • Assist in conducting internal tests, mock exams, and evaluations.
  •  

4.  Operations & Office Management

  • Ensure daily smooth functioning of the coaching center.
  • Maintain inventory of study material, stationery, and office supplies.
  • Handle vendor coordination and basic procurement.
  • Maintain cleanliness, discipline, and infrastructure readiness.

5.  Communication & Reporting

  • Prepare daily/weekly reports on admissions, attendance, and fees.
  • Maintain MIS data for management review.
  • Coordinate communication via WhatsApp, SMS, email, and notice boards.
  • Support marketing and counselling teams with admin data.

6.  Compliance & Documentation

  • Ensure proper documentation for admissions and compliance.
  • Maintain confidentiality of student and institutional data.
  • Support audit and inspection processes.
  • Adhere to institute policies and SOPs.
  •  

7.  Parent & Student Relationship Management

  • Act as the first point of contact for parents.
  • Schedule parent-teacher meetings.
  • Support counselling sessions and feedback collection.
  • Build trust and ensure positive student experience.
